This Privacy policy explains how and why we collect personal information and how we use that information. When we do so we are regulated under applicable local data protection laws including in the European Union (“EU”) the General Data Protection Regulation (“GDPR”) where we are responsible as ‘controller’ of that personal information. We may also provide you with additional information at the time we collect your personal information where we feel it would be helpful to provide relevant and timely information.

To third party processors outside the REALIX group (some of whom may also be based outside the EEA) including:

  • subcontractors for the performance of any contract or request or service we are supplying to you;

  • Our suppliers including:

    • analytics and search engine providers to assist us in the improvement and optimization of our website, although ordinarily only technical information is shared;

    • digital agencies, event organizers, PR agencies, marketing services providers, survey providers;

    • hotels, conference/event management providers, destination management providers.

    • with social media providers (such as LinkedIn, Google+ and Twitter) from time to time, to enable us to provide marketing materials/targeted adverts to you that you have agreed to receive through your privacy settings on those sites;

  • our auditors and other professional advisors where they need access to such information;

  • in connection with an acquisition, transfer or merger with another company;

  • To third parties where required by law, court order or regulation.

6.Transfer of Your Information Outside the EEA

Where information is transferred outside the EEA and where this is to a REALIX group company or supplier, business partner, subcontractor or other entity in a country that is not subject to an adequacy decision by the EU Commission, your information will be adequately protected by the EU Commission approved standard contractual clauses, an appropriate Privacy Shield certification or a vendor’s Processor Binding Corporate Rules (as permitted under the GDPR).

7.Retention of Your Personal Information

REALIX will keep this information for the duration of our business relationship and to the extent permitted or required under applicable law, after termination of the business relationship. Laws may require REALIX to hold certain information for specified periods. In other cases, REALIX may retain data for an appropriate period after the business relationship ends to comply with its legal obligations, to meet regulatory requirements or to protect itself from legal claims. In relation to other personal information collected, REALIX requires this to be deleted as soon as the purpose for which it was collected ceases or the information is no longer needed for that purpose.

8.How We Protect Your Personal Information

We will use appropriate technical and organizational security measures that are designed to prevent personal information from being accidentally lost, or accessed or used in an unauthorized way. We limit access to your personal information to those who have a genuine business need to do so. Our personnel are subject to a duty of confidentiality and required to undertake training on how to handle personal information in an appropriate manner. Where we use third parties to provide services and process personal information on our behalf, we require them to use personal information we share with them only in accordance with our instructions and not for other purposes.

  • We have a process for handling any suspected data security breach and will comply with any notification obligations in the event of a breach.

  • Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal information, you should be aware that the security of your information transmitted to and from you via the internet cannot be guaranteed and any such transmission by you is at your own risk.

Where we have given you or you have chosen a password or access code which enables you to access certain parts of our website, this will be unique to you and you are responsible for keeping this password confidential. If you are prompted to create or update your password, you should create a strong password and never share your login details with anyone. If you suspect your password may have been compromised you must tell us immediately by contacting the administrator of the relevant service and change your password using the reset/forgotten password function.

Where we require personal information to comply with legal or contractual obligations, then we need to process this information; if such data is not provided, we will not be able to manage the business relationship or meet contractual or legal obligations placed on us. Technical information may be collected automatically if you visit our websites.
